About the Role

We are seeking an organised and proactive Facilities & Office Administrator to support the smooth operation of our Head Office. This varied role will see you coordinating facilities, security, work health & safety, HR administration, and general office support, playing a key part in creating a safe, efficient, and positive workplace.


Key Responsibilities

Facilities Coordination

  • Liaise with service providers across security, mechanical, electrical, and building maintenance

  • Coordinate daily maintenance requests and resolve facilities and equipment issues

  • Track repairs through to completion and follow up with stakeholders and contractors

  • Record, report, and review faults, incidents, and issues for continuous improvement

  • Maintain procedures, documentation, and registers

 

 

Security Coordination & Support

  • Manage access cards via the KAU security system

  • Maintain and manage CCTV footage and alarm systems

 

Work Health & Safety Coordination & Support

  • Support compliance with Occupational Health & Safety legislation

  • Monitor and manage licence and accreditation renewals (First Aid Officers, Emergency Wardens, WHS Reps)

  • Coordinate WHS Committee meetings and follow up action items

  • Act as WHS representative for Head Office

  • Manage WHS communications, supplies, and equipment (e.g. First Aid, Defibrillators)

 

HR Administration

  • Provide HR lifecycle administrative support

  • Coordinate Learning & Development activities

  • Maintain HR systems including LMS, performance, and succession modules

 

Office Administration & Support

  • Manage day-to-day office supplies including stationery and kitchen/coffee stock

  • Provide Head Office reception cover

  • Support travel coordination

  • Assist with HR and IT invoice processing

  • Other ad hoc administrative duties as required



About You

Qualifications & Experience:

  • Current driver licence

  • Previous experience in office management and facilities coordination

  • HR lifecycle administration experience

 

Core Competencies:

  • Proactive team player with a strong “can do” attitude and attention to detail

  • Excellent organisational and time management skills, with the ability to prioritise and multitask

  • Strong interpersonal skills with the ability to liaise effectively with staff, managers, suppliers, and visitors

  • Microsoft Office / Microsoft 365 proficiency

  • Basic project management skills

  • Previous experience with contracts and invoice processing
