About the role
BH Mining and Civil is seeking a Workshop Administration Assistant to join our team in Gladstone, QLD. This is a full-time position based on-site, offering a fantastic opportunity to become a key part of our operations. The Workshop Administration Assistant will provide essential administrative support to our workshop operations, ensuring smooth day-to-day activities and efficient management of workshop resources. This role is central to maintaining our operational excellence and supporting our skilled trades team.
What you'll be doing
Managing workshop scheduling, including booking of equipment, facilities and personnel time
Maintaining accurate records of workshop activities, maintenance logs, and equipment inventory
Coordinating delivery of materials and supplies required for workshop operations
Preparing and processing workshop-related documentation, including work orders and invoices
Liaising between workshop staff, management and other departments to ensure effective communication
Monitoring workshop compliance with health and safety procedures and documentation
Assisting with general administrative tasks including filing, data entry and correspondence
Supporting workshop team leaders with planning and organisation of projects and tasks
Managing workshop calendars and scheduling maintenance downtime
What we're looking for
Proven experience as an administrative assistant or in a similar administrative support role
Minimum 1-2 years of administrative assistant experience required
Strong organisational and time management skills with the ability to prioritise multiple tasks
Proficiency with Microsoft Office applications (Word, Excel, Outlook) and general computer literacy
Intermediate Microsoft Excel skills including formulas and functions required
Excellent written and verbal communication skills
Attention to detail and accuracy in record-keeping and data entry
Ability to work effectively both independently and as part of a team
Understanding of health and safety principles in a workshop environment
Customer service orientation and professional demeanour
Flexibility and willingness to support workshop operations as needed
Experience in manufacturing, mining or civil industries is desirable.
