First voice. First impression. First to make it right.
You run the front line of a national business — and every customer who calls knows they're in good hands.
Spot On Warehouse Solutions (SOWS) is a national material handling and warehouse solutions business operating across NSW, QLD, VIC, SA and WA. We sell, hire and service forklifts, and we design and install racking, mezzanines and full warehouse fit-outs — trading under the SOWS and Big Joe Australia brands. We're growing fast, and our customers are busy logistics and warehouse operators who expect a real person to pick up when they call.
We'll be straight with you: we tried letting AI answer our calls. Our customers made it clear they didn't want that — they want a real person who picks up, listens, and actually helps.
So we're putting a human back on the front line, and that's you. This isn't a seat we're filling — it's a job that genuinely matters to our customers, and you're the one we want answering.
Energy and warmth, plain and simple. You're the type who actually likes picking up the phone — you make a caller feel looked after in the first ten seconds, you remember names, and you take it personally when something needs chasing up. Switched-on, upbeat, organised, and genuinely proud to be the first voice people hear when they call SOWS.
If you see reception as a stopgap or you're a clock-watcher, this one isn't for you. If you light up a room (and a phone line), keep reading.
This is a phone-first role. Your day is built around being reachable, responsive and on top of every interaction.
Own the phones (this is the priority)
Answer incoming calls promptly and professionally — customers should never hit a dead line
Triage and route every call to the right person, with the right information passed on
Log every customer interaction accurately in our CRM (Odoo) so nothing falls through the cracks
Manage general email enquiries and make sure they land with the right team
Front of house
Greet visitors, clients and contractors and keep reception running smoothly
Manage visitor sign-in and keep the reception area sharp and presentable
Keep the office running
Data entry and record-keeping — new customers, billing details and updates into our systems, kept accurate and current
Manage meeting rooms, calendars and visitor bookings so the day runs smoothly
Order and manage office supplies, kitchen and amenities
Coordinate incoming deliveries and couriers
Scanning, filing and document prep (we're paperless wherever we can be)
Pitch in on ad hoc admin for the CX team and wider business — you're the person who keeps the small stuff from slipping through
Essential
Experience in reception, customer service, admin or operations support
A confident, warm and professional phone manner — you're comfortable being the front line all day
Strong attention to detail and genuinely good at keeping records accurate
Well organised, calm under pressure, able to juggle a busy switchboard and walk-ins at the same time
Solid Microsoft Office skills
Comfortable learning and using phone/CRM systems
Nice to have
Experience with a CRM or ERP system
Background in logistics, transport, automotive, equipment hire or service-based industries
A good salary and superannuation.
A clearly defined, genuinely important role — not "just reception"
Real scope to grow. For the right person, this role can expand into a hybrid reception/coordination position over time as you take on more responsibility
A national, growing business where the front line actually matters
Hit apply with your resume and a short note. Two things we want in that note:
How did you get good on the phone? We're curious where it came from.
What's your secret to making a caller feel looked after in the first ten seconds?
Those two answers tell us more than a resume ever will. We move quickly on the right person.
