STAC Projects is a growing South Australian construction company delivering commercial, automotive and industrial projects throughout metropolitan and regional South Australia. We work with major national and local clients and pride ourselves on being responsive, professional and solutions-focused. As our business continues to grow, we are seeking an experienced Administration & Accounts Coordinator to support our Directors and play a key role in the day-to-day administration and financial management of the business.

About the Role:

This is a permanent part-time position, initially 2-3 days per week. We offer flexibility regarding which days and hours are worked, provided the successful candidate can effectively support the needs of the business.

Reporting directly to the Directors, this role is responsible for a broad range of administration, accounts and office management functions, making it ideal for someone who enjoys a varied and hands-on position.

Key Responsibilities:

  • Processing supplier invoices and payments

  • Preparing client invoices and progress claims

  • Managing accounts payable and accounts receivable

  • Maintaining accurate financial records in Xero

  • Assisting with payroll administration

  • Supporting month-end reporting and reconciliations

  • Assisting with project cost tracking and cashflow reporting

  • General office administration and document management

  • Preparing correspondence, reports and project documentation

  • Assisting with project and contract administration

  • Coordinating meetings and calendars

  • Supporting onboarding and general HR administration

  • Managing office supplies and day-to-day office operations

The ideal candidate will:

  • Have previous experience in administration, bookkeeping, accounts or office management

  • Have a minimum of 2 years experience in administration, bookkeeping, accounts or office management

  • Have practical experience using Xero

  • Have full bookkeeping experience with Xero including comprehensive functionality

  • Be highly organised with excellent attention to detail

  • Have strong written and verbal communication skills

  • Be confident using Microsoft Office, particularly Excel

  • Be proactive and able to work independently

  • Take pride in producing accurate, high-quality work

  • Be comfortable managing multiple priorities

  • Possess valid Australian work rights or work visa
